A Financial Administrator is required in our Grande Prairie office. The Financial administrator, maintains accurate trust accounting records, compliance with law society regulations for all daily financial entries and reconciliations, investment accounts, accounts payable and receivable. This position will report to the Trust Compliance Manager.
Responsibilities include:
- Coordinate receipt of client funds; share wire/e-transfer instructions as needed
- Maintain payment documentation and file funds to the correct client matter
- Follow firm procedures and checklists to support trust processing and file completeness
- Prepare deposit packages and route cheques/payment requests for approval
- Coordinate with other offices on status updates and transaction follow-up
- Collect corporate card receipts, track missing items, and prepare details for review
- Manage invoice/payment request intake: verify details, obtain approvals, and track status
- Compile routine status summaries and outstanding-item lists
- Organize records and respond to information requests (including year-end support)
- Provide guidance on forms/submissions and help maintain procedure documentation
- Support scheduling/coverage planning and coordinate workload handoffs
- Other administrative duties as assigned (filing, records, data entry, coordination)

- Diploma/certificate in office administration, business, or a related field preferred
- Experience in an administrative role in a professional services environment preferred (legal is an asset)
- Exposure to trust administration and handling sensitive financial information is an asset
- Strong record-keeping skills; able to compile supporting documentation and respond to information requests
- Experience with legal practice/accounting software (e.g., Cosmolex) is an asset
- Proficiency with MS Office (Excel, Word, Outlook)
- Strong time management skills; able to prioritize and meet deadlines in a fast-paced environment
- Excellent attention to detail, discretion, and commitment to accuracy/confidentiality
- Able to manage multiple deadlines, work independently, and collaborate with lawyers and staff across locations
- Meticulous attention to detail, accuracy and consistent quality of work
- Professional level Microsoft Word skills.
Compensation & Hours:
Compensation is competitive and commensurate with experience. Regular full-time position with working hours of 8:30 AM to 4:30 PM subject to change from time to time. Travel is required. You must be willing and able to travel to Stringam offices, events, sponsorship activations, and firm functions across the regions we serve. Occasional evening/weekend availability is required for firm events and community initiatives.
